Provides general administrative support to the school under the supervision of the Director of the school. Ensures daily administrative task and smooth operations of the schools effectively in a timely manner. The individual must be efficient, organized, be able to multi-task, and quickly adapt to a changing environment.

 

Major Responsibilities and Duties:

The administrative assistant responsibilities includes the following (and is not limited to): 

 

  • Managing incoming calls to the school, and appropriately actioning / resolving them in the day
  • Create new student files and ensure completeness of records
  • Manage children arrivals (take child out of car, help take child’s belonging, capture messages from parents e.g. around medicine)
  • Manage children dismissals, including announcing the child names and matching with parents
  • Capture the daily school-wide attendance 
  • Manage child absences (i.e. calling parents when children are absent and checking with school teachers)
  • Manage daily school administrative tasks
  • Take pictures and videos of children and upload to the school app
  • Communicate effectively with prospective parents and track for record keeping
  • Ensure students’ and employees’ paperwork is up to date e.g. checking CPR, background check, vaccinations 
  • Check emails and take action as appropriate
  • Keep file cabinets organized
  • Keep licensing paperwork updated 
  • Keep track of school supplies 
  • Send snack list to parents on weekly basis 
  • Assist in organizing school events
  • Be able to communicate with the head of the school effectively of daily items
  • Demonstrate ethical and confidentiality of school records
  • Complete tasks in a timely manner

 

 

 

GENERAL QUALIFICATION GUIDELINES
Education/Certification/Experience:

  • Graduation from an accredited high school or GED.

 

Skills:

  • Highly organized and efficient in multi tasking
  • Strong verbal and communication skills
  • Proficient in computer skills i.e. Ability to use Microsoft Word, and Excel, PowerPoint and Outlook.
  • Ability to maintain accurate and auditable administrative records, student records
  • Data entry skills
  • Ability to communicate effectively with students, parents and staff members
