Finance & Human Resources Associate

 Hamilton Park Montessori School seeks a full-time Finance and Human Resources Associate to support the school’s human resources and business office operations. The position is approximately 50% finance-related with focus on purchasing and bookkeeping, and 50% HR-related with oversight of staff onboarding, completion of paperwork and documentation filing, and payroll support.

This position reports to the Head of School, and works closely with the school’s Business Manager.

Responsibilities include, but are not limited to:

 Finance:

  • Manage aspects of day-to-day bookkeeping including, but not limited to, recording payroll and all organizational revenue and expenditure entries to the general ledger on a timely basis

 

  • Prepare and input journal entries for deferred revenue, prepaid expenses and cash accounts, as well as standard, recurring and accrual entries

 

  • Assist in recording and tracking of all restricted funds for scholarships, financial aid and other specific initiatives

 

  • Assist with all aspects of the purchasing process, including order review and approvals, order placing and tracking, and inventory management

 

  • Maintain and monitor petty cash ledger

 

  • Reconcile all accounts on a monthly basis

Human Resources:

  • Assist in onboarding of all new employees, including 1099s and contractors
  • Maintain effective compliance for applicable federal and state employment regulations including, but not limited to, fingerprinting, sexual harassment, and staff certifications (CPR, etc)
  • Support the administration of staff benefit programs including health care, group insurance and retirement fund 
  • Manage required HR filing and documentation relating to employee leave (including FMLA, disability, unemployment, etc), benefits, and general files
  • Provide appropriate information to the Head of School for preparation of position descriptions, job classifications, and salary and benefits changes
  • Assist with reviewing and processing payroll
  • Maintain secure and confidential human resource related files and records

 

Skills and Qualifications:

  • Bookkeeping experience, preferably in an educational institution or other non-profit organization
  • Proficiency in Quickbooks a must; experience with Quickbooks for nonprofits a strong plus
  • Technical proficiency in bookkeeping principles, practices and standards
  • Working knowledge of human resources principles, procedures, practices and policies
  • Strong computer skills; fluency in Microsoft Excel
  • Keen analytical and organizational skills; detail-oriented
  • Ability to maintain confidentiality in all matters pertaining to financial, personnel and HR
