School Overview: Rochester Montessori School (RMS) is an independent Montessori day school established in 1968, serving 240 children ages 18 months through eighth grade. Our Middle School incorporates an International Baccalaureate Program (MYP). Position Description:

RMS is seeking an outstanding Business Manager to join the administrative team immediately. The Business Manager will play a crucial role in overseeing the business and facility operations, ensuring compliance with government regulations, and managing all school finances. This role requires excellent communication, analytical, system management, and problem-solving skills.

Responsibilities and Duties:

Oversee a team of 3-4 staff who are collectively responsible for the ongoing operations of the school, including its financial management, regulatory compliance, human resources, and physical and technology infrastructure and assets (building, grounds, and IT).

Financial Management and Reporting

  • Oversee school finances, including accounts payable, accounts receivable, bank reconciliations, and financial reports.
  • Work with the Head of School (HOS) and the Finance Committee to create the annual budget and long-term planning.
  • Provide timely, relevant, and accurate financial information to the board and the Head of School.
  • Plan, coordinate, lead, and provide follow-up for finance committee meetings.
  • Work with the accountant on reviews and 990 filings
  • Manage and track fundraising efforts with the Development Committee
  • Work with the administrative team to manage the tuition assistance program
  • Oversee the school expenditure process
  • Oversee  internal controls and procedures
  • Assist in the analysis of current and future programs
  • Oversee insurance policies and audits for property, workers’ compensation, directors’ liability, and any other policy needed.

Regulatory Compliance

  • Stay informed of regulatory issues as they pertain to the school
  • Ensure policies and practices align with regulatory requirements
  • Ensure record-keeping complies with regulations
  • Prepare and file government and other required reports accurately and on time

Facility, Property, and IT Management

  • Responsible for the safety, cleanliness, security, and appearance of grounds, buildings, and equipment.
  • Oversee Building and Grounds Manager
  • Handle vendor contracts
  • Manage supply orders with assistance from the Office Assistant
  • Develop and update the deferred maintenance plan annually
  • Develop an inventory process for the preservation of school assets
  • Evaluate and manage risks

Human Resources

  • Collaborate with HOS to establish equitable and consistent wage and benefit objectives within the approved budget.
  • Continuously update the Employee Handbook to align with legislative requirements and policy updates
  • Oversee and manage all aspects of payroll and staff benefits, including evaluating insurance.

Additional Responsibilities

  • Maintain confidentiality in all relationships.
  • Support and uphold the policies of the school with families, faculty, and the public
  • Promote a positive organizational culture and effective staff relations
  • Support the coordination of special events
  • Attend school events as requested by the HOS
  • Handle regular communications with students and families, including questions and concerns.
  • Offer assistance to HOS in an administrative capacity
  • Perform other responsibilities as required by HOS
  • Direct reports to this position include Building & Grounds Manager, Accountant, Office Assistant, and others as assigned.

Qualifications

  • Degree in Accounting, Finance, Non-Profit Management, or Business Management/Administration
  • Strong financial and accounting expertise
  • Ability to identify priorities when developing budgets
  • Strong communication and problem-solving skills
  • Experience in not-for-profit preferred
  • Experience in a school environment preferred
  • Human resources experience is preferred
  • Willingness to learn about the Montessori and IB educational philosophies
